How to request deletion of your data

Modified on Sun, 16 Aug at 12:39 PM

You can ask us to delete your CatchKeeper account and the personal information attached to it at any time. There are two ways to do it, and this article explains both, what happens afterwards, how long it takes, and the few things we are required to keep.

Two ways to delete your data

1. Delete your account in the app (fastest)

Open Settings -> Your Account and choose to delete your account. This removes your profile from the Service straight away and starts the cleanup of your data behind the scenes. You do not need to contact us first, and you do not need to give a reason.

The deletion process will then commence automatically in the background

2. Email us

If you cannot access your account, or you would like us to handle the request for you, email support@catchkeeper.net and tell us you want your account and data deleted.

We may need to verify your identity before we act on the request — this protects your account from someone else deleting it. We will respond to a valid request within the timeframe required by the law that applies to you, which is generally thirty (30) days.

Before you delete: download your data first. Deletion is not reversible once cleanup has run. If you want to keep your catch log, photos metadata, spots or social history, request a copy of your data first — email support@catchkeeper.net and ask for a data export. We will send you a downloadable archive containing your personal information in a structured, machine-readable format. Ask for the export before you delete the account.

What happens after you request deletion

When you delete your account, we delete your personal information within thirty (30) days.

WhatWhen it goes
Your profile and account dataDeleted within 30 days
Your catch records and postsDeleted within 30 days
Usage and analytics dataRemoved within 30 days
Photos you uploadedRemoved from our storage as part of the same cleanup

A few things happen immediately, before the 30-day cleanup finishes:

  • Your profile stops being visible to other users.
  • Your posts and catches stop appearing in feeds, groups and events.
  • Any of your photographs shown on a species page stop being displayed at that moment. Species pages show the same photograph from your post rather than a separate copy, and eligibility is re-checked every time the page loads — so removing the post, making it private, switching your account to private, or deleting your account all take effect straight away. You do not need to contact us for that.

What we cannot delete

A small amount of information falls outside a deletion request. This is normal and applies to every service that handles personal data.

Content other people have shared or reposted. If another user has reshared your post or saved something you shared with them, that copy may persist in their feed or records. We cannot reach into another user's account to remove it.

Anonymised and aggregated data. Community statistics, species trends, activity forecasting models and similar aggregates are derived from data across all users and do not identify you personally. This data is retained indefinitely and is not affected by your deletion request — there is nothing in it that points back to you.

Records we are legally required to keep. We may retain information where the law requires it or where we have a legitimate business need, such as resolving a dispute or enforcing our Terms of Service. Specifically:

  • Server logs (including IP addresses recorded on audit entries) are kept for up to twelve (12) months for security and diagnostic purposes.
  • Support conversations — including this request — are kept for up to thirty-six (36) months for quality assurance and legal compliance.
  • Content under legal preservation. Where content, account information or related data is subject to a legal preservation requirement — including material reported to the National Center for Missing & Exploited Children under United States 18 USC § 2258A, or content subject to a law enforcement preservation request — we retain that material for the period required by law, regardless of any deletion request. Deletion and erasure rights are subject to these obligations.

Your deletion rights by region

Deletion is available to every CatchKeeper user regardless of where you live. Some regions add specific rights on top:

European Economic Area, United Kingdom and Switzerland (GDPR). You have the right to erasure of your personal information in the circumstances allowed by law, alongside the rights to restrict processing, object to processing based on our legitimate interests, and withdraw consent at any time. Withdrawing consent does not affect the lawfulness of processing that already happened.

Australia (Privacy Act 1988). Your personal information is handled under the Australian Privacy Principles. You may access your information, request correction, and make a complaint about how we handle it.

United States. Under state privacy laws including the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), and equivalent laws elsewhere, you have the right to request deletion of your personal information, to know what we collect and disclose, and not to be discriminated against for exercising your privacy rights. We do not sell personal information.

Anywhere else. If your jurisdiction has data protection laws that apply to us, we comply with them. Contact us if you have a question about your rights where you live.

If you are not happy with our response

Come back to us first — email support@catchkeeper.net and we will look at it again. We would rather resolve it with you directly.

If you are still not satisfied, you can complain to the privacy regulator for your region:

  • Australia — Office of the Australian Information Commissioner (OAIC), www.oaic.gov.au
  • United Kingdom — Information Commissioner's Office (ICO), ico.org.uk
  • European Economic Area — your national data protection authority; the full list is maintained by the European Data Protection Board at edpb.europa.eu
  • Switzerland — Federal Data Protection and Information Commissioner (FDPIC), www.edoeb.admin.ch
  • California — California Privacy Protection Agency, cppa.ca.gov
  • Other US states — your state attorney general's office or state privacy regulator
